This policy is for Chilled Out AC Cleaning Pty Ltd (ABN 78 682 176 969) — "we", "our", or "us". We clean air conditioners in Townsville, Mackay, and surrounding areas in Queensland. This page explains what personal information we collect, why we collect it, and how we look after it. We handle your information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What We Collect

• Your name, phone number, and email address
• The address where we do the job, and any access notes you give us
• Details about your air conditioners and your service history with us
• Photos of your units taken during the job (before and after the clean)
• Payment details — card payments are handled securely by Stripe; we never see or store your full card number
• Messages between you and us (SMS, email, calls, and website enquiries)
• How you found us (for example, which ad or search led you to book)
• How you use our website, through cookies and similar tools (see below)

Most of this comes straight from you — when you call, message, book online, or talk to our technicians. If your booking was arranged by your landlord, property manager, or accommodation provider, we may receive your name, contact details, and the property address from them instead. You can ask us general questions without giving your name, but we do need your details to book a job.

How We Use Your Information

• To book your job, do the work, and send invoices and receipts
• To send booking confirmations, reminders, and updates about your job
• To answer your questions and keep a record of what we've agreed
• To send you service reminders and offers (you can opt out — see Marketing below)
• To show real before-and-after photos of cleans on our website and in our ads — these show the unit, never you or your home address
• To improve our service and make our advertising work better
• To meet our legal and tax obligations

We use AI tools to help us respond to enquiries quickly, draft replies, and keep our records tidy. This means your messages may be processed by our AI providers. Our team oversees these tools.

Cookies and Advertising

Our website uses cookies and similar tools to understand how visitors use the site and to measure our advertising:

• Meta (Facebook/Instagram) Pixel — measures whether our Facebook and Instagram ads lead to bookings
• Google tags — measures whether our Google ads and search listings lead to bookings
• Microsoft Clarity — shows us how visitors move around the site so we can improve it

We also send booking outcomes back to Meta and Google in a protected (hashed) form so their systems can measure and improve our ads. You can block or delete cookies in your browser settings at any time.

Who We Share Information With

We never sell your personal information. We only share it with providers who help us run the business:

• Your landlord, property manager, or accommodation provider — if they arranged the booking, we share job details, reports, and invoices with them
• Stripe — secure payment processing
• Go High Level — our booking, messaging, and customer management platform
• Meta and Google — advertising measurement, as described above
• Microsoft — website analytics (Clarity)
• Secure cloud hosting and database providers that store our records
• AI providers that help us respond to messages and manage bookings
• Government bodies or others where the law requires it

Some of these providers store information outside Australia, mainly in the United States. We take reasonable steps to make sure your information stays protected wherever it's held.

Marketing Messages

From time to time we send service reminders and offers by SMS or email — for example, a reminder when your annual clean is due. You can opt out any time: reply STOP to any SMS, click unsubscribe in any email, or just contact us and ask. We'll still send you messages about jobs you've booked (like confirmations and reminders), because those aren't marketing.

How We Protect Your Information

Your information is stored in secure systems with password and access controls, and only the team members who need it can see it. We keep information only as long as we need it for the purposes above or as the law requires, then delete or de-identify it. No online system is 100% secure, but we take reasonable steps to protect your information. If a data breach ever happens that's likely to cause you serious harm, we'll notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

Access, Correction, and Complaints

You can ask us at any time to:

• See the personal information we hold about you
• Correct anything that's wrong or out of date
• Delete your information (where the law allows us to)

There's no charge, and we'll respond within 30 days. If you have a complaint about how we've handled your information, contact us first and we'll do our best to fix it. If you're not happy with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
